What CrewBinder stores, where, who can see it, and how to delete it.
Last updated
The short version
- Your records are saved on your phone first. They go to our cloud database only if you sign in to sync them with your company.
- CrewBinder has no ads and no analytics or crash-reporting services of its own (on Android, Google’s receipt reader sends Google its own diagnostics — see Outside services), and doesn’t sell or share your information for advertising.
- Receipt photos are read on your phone. They aren’t sent to any AI service.
- Location is recorded only when you clock in and clock out — never in the background.
- You can delete your account and data at any time: here’s how.
Who we are
This policy covers the CrewBinder app for iPhone, iPad and Android and this website. “CrewBinder”, “we” and “us” mean the developer of the app. Privacy questions and requests: privacy@crewbinder.net.
CrewBinder is software for organizing quotes, invoices, jobs, time and expenses. It shows summaries of the information you enter. CrewBinder is not a tax preparer, accountant, law firm or licensed professional of any kind, and nothing in the app is tax, legal or accounting advice.
What stays on your phone
Everything you enter — jobs, quotes, invoices, payments, signatures, clients, job sites, equipment, receipts, expenses, time entries, photos, your crew list and company details — is saved on your phone or tablet first. Your sign-in, if you use one, is kept in the phone’s secure storage (Keychain on iPhone and iPad, Keystore on Android).
Photos you take with the camera are also saved full size to a “CrewBinder” album in your Photos, if you allow it. That album belongs to you; deleting your CrewBinder account doesn’t remove it.
What goes to the cloud — only if you sign in
Signing in is optional. Without it, CrewBinder makes no requests to our cloud and nothing is uploaded. You sign in with your email address and a six-digit code we email you.
After a company owner signs in, the app asks once whether to upload the records already on the phone or start with an empty company; nothing is uploaded before that choice. Sample records are never uploaded. From then on, the company’s records and their photos are kept in our cloud database so they appear on every device where you sign in.
Cloud storage is provided by Supabase. Photos are kept in private storage that only people in your company can open, according to the rules below.
Who in your company sees what
These rules are enforced by the database itself, not just hidden in the app.
| Data | Owner | Technician | Anyone else |
|---|---|---|---|
| Company card, crew list, clients, equipment | ✓ | ✓ (adds and edits clients and equipment; can't delete) | — |
| Jobs: the work (address, schedule, work list without prices, completion, items used) | ✓ all | Jobs assigned to them, or that they created (Request Extra Work drafts) | — |
| Prices, payments, signatures, price book, billing settings, money entries in job history | ✓ | Only while Technicians see prices is on, and only on their jobs | — |
| Time entries | ✓ all | Their own | — |
| Expenses / receipts | ✓ all | Only receipts they added themselves | — |
| Bookkeeping estimates and other owner-only settings | ✓ | — | — |
A technician’s phone sends back only their own work: accepting jobs, clock-in and clock-out times with their locations, items used, completion notes and photos, receipts they add, extra-work requests, and their own profile — and, only if the company lets technicians see prices, the payments, signatures and quotes they take for their own jobs. It never sends billing or owner settings.
When an owner removes a technician from the crew, the company’s records are removed from that technician’s phone on its next sync; records the technician had before joining stay.
Permissions the app asks for
The app asks before using any of these, and works without them (you just can’t use that feature). You can change them any time in your phone’s Settings. This is the exact text the app shows:
- Camera: “CrewBinder uses the camera to take profile, receipt, equipment and proof-of-payment photos. A full-quality copy of each photo you take is saved to a “CrewBinder” album in your Photos.”
- Photo library: “CrewBinder uses your photo library to attach existing photos (profile, receipts, equipment, proof of payment, company logo) and to save full-quality backup copies of photos you take to a “CrewBinder” album.”
- Saving to Photos: “CrewBinder saves a full-quality backup of each photo you take to a “CrewBinder” album, so you always have your own copy to keep or delete.”
- Calendar: “CrewBinder adds your scheduled jobs to your calendar with a 30-minute reminder. It never reads your other events.” “CrewBinder adds your scheduled jobs to your calendar with a 30-minute reminder and updates them if the job is rescheduled.”
- Face ID: “CrewBinder uses Face ID so that only you can leave Customer Mode after handing your phone to a customer to sign.”
- Location: “CrewBinder records your location once when you clock in and once when you clock out, so the job’s time log shows where the work was done. It never tracks you in the background.”
Face ID is checked by your phone; CrewBinder never receives your face data.
Receipt reading
When you start a receipt with a photo, the phone reads the store, total and date so you can check them before saving. Text recognition runs on the phone itself (Apple Vision on iPhone and iPad, Google ML Kit on Android). The photo isn’t uploaded for this, and CrewBinder doesn’t use any cloud AI service.
Outside services
CrewBinder doesn’t use advertising, analytics, attribution or crash-reporting services of its own. It talks only to:
- Supabase — sign-in codes and cloud sync, only if you sign in.
- Apple App Store, Google Play and RevenueCat — subscriptions. Payment is handled by the App Store or Google Play; we never see your card. RevenueCat tells the app which plan is active using an anonymous ID; it doesn’t receive your business records.
- Google ML Kit (Android only) — the receipt reader on Android phones is Google’s on-device ML Kit. Google’s software sends Google its own diagnostics — device model and Android version, the app’s name and version, and how fast and how often the reader ran (image size, errors) — but not the photo or the text it read.
- Apple App Store lookup (iPhone and iPad) — at most once a day the app asks Apple’s public App Store which version is current, so it can tell you about updates. Only the app’s ID is sent.
- Maps — clock-in and clock-out places are shown on a small Apple map on iPhone and iPad; tapping an address or a time entry opens Apple Maps or Google Maps.
- Your payment providers — if you add your own card payment link, Venmo, Zelle or similar, customers pay you through that provider; CrewBinder only shows your link or QR code and doesn’t process payments.
- Your own apps — when you share a PDF, text a customer, add a job to your calendar or email us, the app hands the content to the app you choose (Mail, Messages, Calendar…). What happens next is up to that app.
When you contact us
Settings → About & Help → Contact the developer only opens your own Mail app with a draft you can read and edit before sending (nothing is sent by the app, no server). The draft has the chosen topic in the subject and a visible App details block: app version and build, system and version, device model, app language, plan and role (Owner / Technician). It never includes customer names, addresses, jobs, prices, amounts, photos or business details.
We use what you send only to answer you.
Your customers’ information
You may enter information about your customers and crew — names, phone numbers, emails, addresses, signatures and photos of their property. You decide what to enter and are responsible for having the right to use it. CrewBinder records the signature, the signer’s name and when it was captured. Whether an electronic signature is valid for your agreement depends on your terms and the laws that apply to you.
How long records are kept
Your business records stay stored on your device (and, if you use cloud sync, in your company’s cloud workspace) until you delete them. CrewBinder does not delete records because an account is inactive or a subscription has ended. Archived jobs, clients and expenses are kept until you delete them. Removed photos, time entries and equipment are kept in Recently Deleted for 30 days, then removed automatically the next time the app opens. Delete Account erases all records on this device immediately, and an owner’s synced company records when signed in to cloud sync.
Nothing in the cloud is deleted because an account is inactive or a subscription ended; records stay until you delete them or delete your account.
Deleting your account and data
You can delete your account at any time in Settings → Delete Account. Deletion is permanent and can’t be undone: your jobs, quotes, invoices, payments, signatures, clients, receipts, photos and documents are erased from your device and can’t be recovered in the app. If you signed in to cloud sync as a company owner, your cloud sign-in and the companies you own, with their synced records and files, are deleted too; if that can’t be done, nothing is removed and the app tells you. Export anything you need first. Deleting your account doesn’t cancel a subscription — cancel it in your App Store or Google Play account. A technician who deletes their account removes only their own sign-in and device data; work done for a company stays with that company.
Step by step, and what is kept: Delete your account. You can also email support@crewbinder.net.
Security
Your sign-in is stored in the phone’s secure storage, and cloud records are protected by database rules that decide who in your company can read or change them. No system is perfectly secure, so keep your phone locked and your email account safe.
Your choices
- See and export your data: your records are in the app; owners can export an Income & Expense Summary or a spreadsheet (Money → Export, Solo Pro and Small Team) and share any PDF.
- Correct it: edit any record in the app.
- Delete it: delete single records, or your whole account.
- Stop syncing: sign out; your records stay on the phone.
- Ask us: email privacy@crewbinder.net with any request about your information.
