Help with CrewBinder, your account and your data.
Contact us
In the app: Settings → About & Help → Contact the developer.
Contact the developer only opens your own Mail app with a draft you can read and edit before sending (nothing is sent by the app, no server). The draft has the chosen topic in the subject and a visible App details block: app version and build, system and version, device model, app language, plan and role (Owner / Technician). It never includes customer names, addresses, jobs, prices, amounts, photos or business details.
Delete your account
Anyone who can sign in — company owners and technicians, on every plan — can delete their account inside the app at any time.
In the app
- Open Settings → Delete Account (red row after Archive & recently deleted, above About & Help). A sheet lists exactly what will be deleted.
- Company owners see Before you delete: Business and tax records often need to be kept for several years. Export what you need first (Money → Export). Cancel your subscription separately: Deleting your account doesn't cancel billing. Cancel it in your App Store or Google Play account.
- Type DELETE to confirm. In other languages the word is shown in your language.
- Confirm the final question, “Delete everything?” Your account and all data on this device will be permanently deleted. This can't be undone. Signed in to cloud sync, it reads: “Your account, the companies you own in the cloud and all data on this device will be permanently deleted. This can't be undone.”
If you signed in to sync, your cloud account is deleted first. If that can’t be done — for example, you’re offline — the app says so and nothing is removed from your phone, so you can try again.
What is deleted
Company owners
- All jobs, quotes, invoices, payments and signatures
- Clients, job sites and equipment
- Receipts, expenses, photos and saved documents
- Your crew, company settings, profile and sign-in
If you used cloud sync, the cloud copy goes too: every company you own with everything in it (crew list, clients, equipment, jobs, prices, payments, time, history, price book, expenses), the photos stored for those companies, any backed-up photos, and your sign-in account itself.
Technicians
- Your sign-in and profile on this device
- Everything CrewBinder saved on this device
- Your sign-in account in the cloud
Work you did for your company — jobs, time and receipts — belongs to your company and stays in its records.
What is kept, and why
- A count of quotes created per month stays on the phone so that deleting and starting over doesn’t reset the free plan’s monthly limit. It holds no personal data.
- A technician’s crew entry stays in the company’s records, no longer linked to the deleted sign-in, together with the work they did for that company.
- Copies you already sent or exported — for example PDF quotes and invoices emailed to customers, or files you saved elsewhere — are outside CrewBinder and aren’t affected.
- Deleting your account doesn’t cancel a subscription — cancel it in your App Store or Google Play account.
Can’t open the app? Ask us by email
Email support@crewbinder.net with the subject “Delete my account”, from the email address you sign in with. We’ll reply to confirm the request comes from you, delete your cloud account and the companies you own as described above, and let you know when it’s done.
Records that were only ever on your phone can’t be reached by us: delete the app to remove them. On iPhone, a saved sign-in can outlive deleting the app; deleting your account in the app always clears it.
How CrewBinder works
The same short guides as Settings → About & Help → How CrewBinder works.
Quotes & signatures
Price the work and get it approved. An approved quote becomes a job.
- Tap + in Jobs. Pick a client, then tick items in your Price Book and tap Add, or type your own.
- On Review & Sign, tap Hand to Customer to Sign, or send the estimate as a PDF.
- Customer approved by phone or text? Tap Save as Approved. No signature needed.
- Once signed, the price is locked. Added work goes on a change order.
- Technicians can tap Found more work? on a job. It shows in Jobs under Needs your attention: add prices, then send.
For technicians
- Found more work on a job? Tap Found more work? to send photos and a note to your owner, who adds the prices. If prices are locked, items you type are priced by your owner too.
Deposits & payments
Ask for money up front, collect the rest, and always see what's left.
- On Review & Sign, choose a deposit: None, 25%, 50% or Other %.
- Collect payment shows a QR code or link for what's due now: the deposit, half, the full balance or another amount.
- Got paid? Tap Record Payment, choose how they paid and add a photo of the check if you like.
- Each payment lowers the balance. Set up how customers pay you in Settings → Getting paid.
For technicians
- Each payment lowers the balance. Your owner sets up how customers can pay.
Scheduling
Put the work on your calendar and let customers know you're coming.
- Open a job and tap Schedule to pick the day, start time and length.
- Switch Jobs to Schedule to see the month or the week, and tap a day for its jobs.
- Add the job to your phone's calendar, or text the customer On My Way.
- Paid isn't done: you can reschedule until the work is marked complete.
For technicians
- Your owner schedules your jobs. Open a job to see its day and start time.
Time & crew
Track time on site, for you and your crew.
- On an active job, tap Clock In when you start and Clock Out when you leave. Each entry shows where you clocked in and out (a small map on iPhone and iPad); tap it to open Maps.
- Hourly and daily jobs count everyone's time. A Price Book item priced per hour or per day sets the rate. Tap Bill Actual Time to put it on the bill.
- On a flat-price job, time is for your records and never changes the price. Someone forgot to clock out? The owner opens the job, taps ⋯ on that person's running time and chooses Clock Out. The same hours can't be logged twice for one person.
- With Small Team, invite technicians in Settings → Crew and assign them jobs. Signed in, they join from their own phone with your code and their work syncs back to you.
- Log parts with Add Item Used. When the work is done, the job shows in Jobs under Needs your attention so you can bill them.
Receipts & expenses
Keep every purchase with a photo of its receipt.
- Tap + in Money, or Add Receipt on a job.
- Start with the photo: the phone reads the store, the total (tax included), the sales tax and the date. Check them before you save.
- A crew member paid? Under Who paid?, choose A worker. It stays in Owed to workers until you mark it paid back.
- Receipts linked to a job show on that job, so you can see what it cost.
For technicians
- On a job, tap Add Receipt.
- Paid with your own money? Under Who paid?, choose A worker so your owner can pay you back.
Money (company owners)
See what came in, what's owed and what you spent.
- Money shows payments received and expenses by month, quarter or year.
- Still owed to you lists every unpaid balance. Tap it to see who owes.
- Sales Tax shows the tax your customers paid you. It isn't your income.
- Export an Income & Expense Summary or a spreadsheet for your records (Solo Pro and Small Team).
- Lots of purchases in a period? Tap Show all, then search by store, category, job, client or amount.
Contractor work (company owners)
Bill another contractor for your time and purchases.
- If you also work for other contractors, turn on Contractor Work in Settings.
- In a new quote, set Work for to Contractor. It's saved as active work, with no tax, deposit or signature.
- Receipts on that work are billed at cost. Turn Bill to contractor off for any you keep, then tap Bill receipts to contractor.
- Share the Work Summary: labor, work and reimbursed purchases, with the amount owed.
Clients & equipment
Everything about a customer in one place.
- Tap + in Clients to add a client. Their address is the billing address.
- Add a job site when the work is somewhere else, with access notes and a site contact.
- Keep equipment on file with model, serial number and photos. Each unit shows its service history.
- Tap New Quote on a client to start a quote for them.
Sign in & sync
Keep the same records on all your devices.
- Settings → Account → Sign-in options → Continue with Email, then type the six-digit code from the email. A new email address creates your account.
- The first time, choose Upload this phone's records or Start with an empty company. Sample records are never uploaded. To join a crew instead, tap “Joining a crew?” and enter your invite code.
- Changes save on this device first and sync when you're online. Settings → Account shows when it last synced; tap Sync Now any time.
- On your other phone or tablet, choose “I already have an account” when CrewBinder first opens (or sign in from Settings → Account) to get the same records there.
For technicians
- Technicians: tap the invite link from your owner, or choose “I’m joining my crew” when CrewBinder first opens (later: Settings → Crew → Join a Crew) and enter the code. Jobs assigned to you arrive; your time, items, photos and receipts go back to your owner.
App Lock
Keep your clients, jobs and payments private if someone picks up your phone.
- Settings → App Lock → turn on Require Face ID (Touch ID, fingerprint or your passcode on other phones). You confirm once to turn it on.
- CrewBinder then asks when it opens, and when you come back after the time in Require after (1 minute unless you change it).
- If Face ID doesn't recognize you, use your phone's passcode. Cancelled by mistake? Tap Unlock.
- In the app switcher CrewBinder shows its logo instead of your screen. Links and widgets open right after you unlock.
Languages & your data
Your language, your documents and where your records are kept.
- CrewBinder follows your phone's language. To change it just for CrewBinder, go to your phone's Settings → CrewBinder → Language (Android: Settings → Apps → CrewBinder → Language).
- Quotes, invoices and summaries are always in U.S. English.
- Your records are saved on this phone first. Sign in to sync them with your company (see Sign in & sync), and keep copies of the PDFs you need.
- Photos you take with the camera are also saved full size to a CrewBinder album in Photos, if you allow it.
- Updates come from the App Store (Google Play on Android). When a newer version is out, About & Help shows it under the version number.
Troubleshooting
The sign-in email doesn’t arrive
Settings → Account → Sign-in options → Continue with Email, then type the six-digit code from the email. A new email address creates your account. If it isn’t there after a few minutes, check your spam or junk folder, then ask for a new code.
“Couldn't sync” or “Offline — will sync”
Records are saved on this device first. While you're signed in, they sync with your company whenever you're online. Tap Retry or Sync Now in Settings → Account when you’re back online.
“Not uploaded: N (kept on this device)”
The cloud refused a record or photo; it stays on your phone and everything else keeps syncing. Photos must be JPEG, PNG or WebP and under 5 MB.
“Different account”
The records on this device belong to another email address. Sign in with that account, or delete this account's data first (Settings → Delete Account).
My subscription doesn’t show up
Use Restore Purchases in the plans screen while online. Manage this subscription from the App Store or Google Play account used to purchase it.
The receipt’s store, total or date are wrong
Start with the photo: the phone reads the store, the total (tax included), the sales tax and the date. Check them before you save. Receipt reading happens on your phone; if it can’t read a photo, type the details yourself.
I’m a technician and don’t see Money
Money and contractor work are for company owners only, so technicians don’t see them.
The app is in the wrong language
CrewBinder follows your phone's language. To change it just for CrewBinder, go to your phone's Settings → CrewBinder → Language (Android: Settings → Apps → CrewBinder → Language).
Is there a newer version?
Updates come from the App Store (Google Play on Android). When a newer version is out, About & Help shows it under the version number.
